Your license spreadsheet is not the credential
Most clinics do not miss a renewal because they forgot licenses exist. They miss it because the current file and the date are two different objects.

The sheet can be current. The file is not.
Open the shared sheet. The DEA for Dr. Chen says 11 September. Open the drive. The newest PDF is last year’s scan, named final-FINAL-v3. Nobody is lying. The objects drifted.
That drift is how a private clinic walks into a Monday with a date that looks covered and a file that is not. An owner asks if the facility is current. Operations answers from the sheet. The medical director later opens the wrong PDF. Three true statements. One gap.
Why the sheet always wins — until it does not
Spreadsheets are fast to type into. They are also easy to copy, easy to filter, and easy to send. Files are slower. So the date gets maintained, and the certificate gets dumped in a folder with last year’s name still on it.

If you cannot point to one file and one date, you do not have a tracker. You have a reconstruction project.

Treat each credential as a single record: the clinician, the site, the policy, the device. The current file sits on that record. The expiration is read from that file, not remembered. When the new certificate arrives, it replaces the old one. History stays. The live calendar does not grow a second Dr. Chen.
Do this on paper if you must. The rule is the same. Software only helps if it refuses to split the objects again.

You can. You will still have two places to edit. The failure is the split, not the brand of software.
