Medical license expiration tracker

Each clinician needs one current license on file, not a pile of PDFs. CalSafe keeps the live credential, the confirmed expiry, and the history of what it replaced.

Why the date matters

A private clinic may hold licenses for physicians, nurse practitioners, physician assistants, and technicians. Spreadsheets duplicate names. Shared drives keep every renewal as a new file. When a medical director asks who is current, someone rebuilds the list by hand.

What to keep on file

  • Licensee name as printed on the certificate
  • Board or issuing authority (license numbers stay on the PDF for review)
  • Expiration or next-renewal date your team confirmed
  • Status after a person has confirmed the fields

How CalSafe holds it

  • Scan the license. Confirm entity, type, authority, and expiry against the file. The calendar only moves after that review.
  • When the board issues a new certificate, upload it against the same clinician. The old file is superseded.
  • Reminders go to operations or to the clinician’s renewing contact, depending on who you list in settings.

Questions

How do we avoid two rows for one doctor?

Renew against the existing record. Do not start a new upload as if it were a second person. The current file is the one that counts; the prior file stays in history.

Can we track licenses from more than one state?

Yes. Each certificate is its own document with its own authority and date. Keep them on the clinician’s facility calendar if that is where they practice.
